Paying commission on collection means you pay when the customer pays, not when the deal closes. It is normal in services, media, lending, and anywhere you invoice over time. HubSpot cannot do it on its own, because it counts revenue on the close date. But you can set it up with payment data you already have.
Why close date is the wrong trigger
When a deal is marked Closed Won, HubSpot books the full amount against the close date. That is fine for a pipeline report. It is wrong for commission if the customer has not paid yet, pays in instalments, or never pays at all. Pay a rep on close and you can end up paying commission on money that never lands. For the wider picture, see can HubSpot calculate commissions.
Get the paid status into HubSpot
You cannot pay on collection unless HubSpot knows what has been paid. A few ways to do that:
- HubSpot invoices or Payments. If you invoice or collect through HubSpot, each invoice already carries a paid or unpaid status.
- A property you keep updated. A simple “Paid” checkbox or an “Amount paid” field on the deal, updated when the money lands.
- A sync from your accounting tool. Push paid status from Xero, QuickBooks, Stripe, or similar into a HubSpot property.
Any of these works. The point is that “has this been paid” lives on the deal.
Run commission on paid money only
Once paid status is on the deal:
- Count only paid deals. A closed deal that is still unpaid earns nothing yet.
- Follow partial payments. If half the invoice is paid, pay commission on that half. Pay the rest when the rest is paid.
- Move it to the right period. Commission lands in the month the money came in, not the month the deal closed.
- Show the working. Every rep should see which deals paid, how much, and what they earned.
Why the spreadsheet struggles here
A spreadsheet can do this once. The trouble is it has to be redone every time a payment lands. Close date is a fixed number. Paid status changes all month, so the sheet is never finished, and a stale sheet pays the wrong amount.
Where Provikka fits
Provikka reads your HubSpot deals and their paid status, and only pays on what has come in. You set the rule once, and each rep’s statement updates as invoices are paid. Nothing to export.
